We are currently in search of an experienced Clinical Manager for our Fredericksburg, VA location. The Clinical Manager at Kolmac Integrated Behavioral Health and all of its subsidiaries ("Kolmac" or the "Company") is ultimately responsible for the daily administration and supervision of Kolmac-CCG delivery of clinical services. This includes staffing all programs, as well as the training and development of all clinical staff. The Clinical Manager is responsible for ensuring that all Addictions Counselors have a foundation that will allow them to perform all responsibilities of their position. The Clinical Manager in partnership with the Executive Director is responsible for managing Key Performance Indicators.
This individual provides oversight and authority for ensuring compliance with Kolmac/CCG policies and procedures. The Clinical Manager has responsibility for the long and short-term planning, program evaluation, and compliance with federal, state, local, and independent regulatory statutes.
People Leadership & Staffing
Build, schedule, and staff every program/session with the right mix of skills; maintain a coverage matrix so no group goes uncovered.
Recruit, interview, and onboard new clinicians; create 30/60/90-day ramp plans and competency checklists.
Deliver weekly 1:1 supervision (documented within 24 hours) focused on both clinical growth and performance results.
Set clear expectations, recognize wins, and course-correct quickly with coaching, feedback, and formal action when needed.
Clinical Excellence & Model Fidelity
Champion our evidence-based care model (Motivational Interviewing, CBT, harm-reduction) and coach staff to mastery.
Conduct live group observations and chart reviews; translate findings into bite-size coaching and training refreshers.
Lead treatment plan reviews and ensure consistent use of measurement-based care (e.g., BAMs) to inform next-step treatment.
Documentation, Quality & Audits
Own documentation quality: treatment plans, BAMs, group/individual/case management notes, discharges—on time and complete.
Run daily/weekly QA reports (Incomplete Visit, Appointment History, Discharge Cleanup) and drive zero-defect follow-through.
Create action plans for any quality gaps and verify closure—no lingering to-dos.
KPI Ownership (Clinical + Staff)
Hit the big ones: patient retention, successful completions, transitions across the continuum, ALOS.
Keep counselor productivity and direct care hours on target; remove obstacles and rebalance workloads as needed.
Use dashboards to spot trends early and turn insights into action (and results).
Patient Experience & Service Recovery
Keep a finger on the pulse of patient satisfaction; jump on concerns fast and close the loop with thoughtful solutions.
Partner with front-office/medical teams to streamline access, reduce no-shows, and keep waitlists moving.
Compliance, Safety & Risk
Team with Compliance to stay CARF-ready and aligned with state regs; prep and lead portions of surveys/accreditation visits.
Ensure incident reporting, safety plans, and risk mitigation practices are real and practiced, not just policy on paper.
Collaboration & Program Growth
Work side-by-side with the Executive Director on staffing, outcomes, budget awareness, and site-level rhythms.
Collaborate with the Medical Director and clinical leadership to refresh curricula, add groups, and pilot new services.
Support outreach/marketing efforts with the ED to strengthen referral relationships and grow OTP/IOP/MH programs.
Training & Development
Plan quarterly in-service trainings, micro-learning refreshers, and new-hire bootcamps; track participation and impact.
Identify upskilling opportunities (e.g., complex cases, group facilitation, documentation polish) and build mini-modules.
Coverage & Direct Care (as needed)
Jump in for IOP, group, or individual therapy when needed; model best-in-class facilitation and therapeutic presence.
Operational Rhythm Daily:
Weekly: supervision & notes within 24 hrs, chart audits, admission/discharge review, team huddle, KPI pulse.
Monthly: training block, program review with ED/Medical, compliance spot audit, recognition highlights.
